We have an exciting Senior Administrative Support opportunity in our Research Business Operations Department. This position, with significant independence, provides senior administrative support that requires no instructions on routine work, and general instructions on new assignments.
As a successful candidate, you will:
Administrative Support: Type, edit, and manage complex documents, correspondence, and confidential materials; maintain organized electronic files and records.
Calendar and Travel Management: Coordinate faculty calendars, schedule meetings, make travel arrangements, and process reimbursements.
Office Operations: Screen calls and visitors, distribute mail, and support onboarding tasks like lab coats, IDs, visas, and emergency contact lists.
Meeting and Communication Support: May attend meetings, prepare agendas, take minutes, draft routine correspondence, and guide clerical staff.
Lab and Research Operations: Facilitate daily lab operations, order supplies, reconcile purchases, and ensures task completion across departments.
Facilities and Equipment Management: Handle facilities requests, shipping needs, capital equipment orders, and maintain equipment inventories.
Grant Administration: Prepare documents and assist with grant applications and progress reports, ensuring compliance with sponsor guidelines.
Faculty and Program Coordination: Support faculty with departmental activities, adjunct collaborations, seminars, training programs, and special events.
Your qualifications should include:
High school diploma or GED
3-5 years responsible secretarial or clerical experience in a professional environment.
Preferred qualifications:
Bachelor’s Degree
Executive support experience desired, but not required.
Additional Information:
This is a hybrid position requiring on-site presence at the City of Hope Duarte campus two days per week.
