Position SummaryWe are seeking a highly organized and proactive administrative professional who thrives in a fast-paced environment and can operate with minimal supervision. In this role, you will provide advanced clerical and administrative support to senior leadership, managing complex schedules, coordinating high-level meetings, and developing reports that support key business functions. This position requires strong judgment, discretion, and a deep understanding of organizational operations, policies, and procedures.
As a successful candidate, you will:
- Manage complex calendars, scheduling meetings and appointments for senior leadership
- Coordinate meetings, prepare agendas, and distribute materials
- Organize and expedite workflow through the executive office, ensuring timely follow-up
- Prepare, format, and edit correspondence, reports, presentations, and confidential materials
- Handle travel arrangements, lodging, and conference registrations for leadership
- Process expense reports, reimbursements, and maintain detailed financial records
- Serve as a point of contact for internal and external stakeholders, resolving inquiries professionally
- Maintain confidential files, records, and documentation with a high level of integrity
- Support special projects and initiatives across the department
- Prepare and distribute meeting minutes and key documentation
Your qualifications should be:
- Minimum of 2 years post-high school education in business, trade, or professional school (Bachelor’s degree preferred)
- 3–5 years of executive-level administrative experience or experience in an academic institution preferred
